The opportunity

A studio deserves more than a search bar.

Make Sense is now your full time work. The craft is proven, the positioning is set, and the brand, the packaging and the website are being built around you. The one thing not yet built is the part that pays: a reliable way to find the right clients, reach them well, and keep every warm conversation alive until it becomes work.

Today that happens by hand. Businesses searched one at a time, follow ups held in memory, no record of who was contacted or what came back. Every hour the searching takes is an hour not spent writing, and nothing it produces is stored anywhere that compounds.

The timing matters. Every business you contact from this point forward either accumulates into a database the studio owns, or evaporates into a sent folder. This proposal is about which of those two things happens.

One connected system

Every client, from first found to referral, in one place.

ResearchOutreachReplyPipelineProposalBookedPaidNurtureReferral

Rather than juggling a spreadsheet, an inbox, a notes app and memory, the Client System holds every stage of the journey on one platform. Prospects enter from research. Enquiries enter from your website, Instagram, Facebook, email and Meta lead forms, with more channels wired in as you use them. Every conversation, proposal, booking and invoice that follows is visible in one place.

Your part stays human, and it is worth being plain about: you write and send your own introductions, and you mark who you have contacted, a click here, a tag there. The system holds everything else: the lists, the reminders, the history, the journeys, the paperwork.

The same database does three jobs at once. It decides who receives your introductions, it keeps warm conversations and past clients close, and when advertising begins it becomes the audience your campaigns are aimed at. One asset, three uses, owned by you.

How it works

Three ways a client moves through the system.

A

A business you approach

  1. Researched and added
A business from one of your five industry lists sits in the database with the right contact's name, role, email and the reason it made the list.
  2. You choose who to write to
The outreach view shows your list filtered to businesses not yet contacted, strongest fits first. You pick who to write to, take the introduction template for their industry, personalise it, and send it from your own address.
  3. One click keeps the record
You mark the business contacted, one click on the record. That click schedules the follow up reminders as tasks, so nothing relies on memory. When a reply lands, you drag the card onto the conversation stage.
  4. Conversation to paid
You move the card across the pipeline. When it is proposal time, you open the designed template, fill in the scope and the price, and send it as a link. From there the booking confirmations, the invoice and the polite reminders run on their own.
B

A business that finds you

  1. The enquiry is answered instantly
An enquiry from the website, Instagram, Facebook, email or a Meta lead form is acknowledged within sixty seconds, at any hour, in your words.
  2. It joins the same pipeline
It lands beside every other open conversation, source stamped, and follows the same path: proposal page, booking, invoice, all handled.
C

A client after the project

  1. Past clients stay close
Finished clients move into the past client journey: three considered notes across the year that keep Make Sense present without chasing.
  2. Reviews and referrals get asked for
A set time after the project wraps, the Google review ask goes out with the link straight to your profile, then the referral note and the testimonial request. Quiet warm conversations receive the quarterly note, so the studio is front of mind when budget lands.
And the businesses that never reply

They are not emailed endlessly and they are not lost. They stay in the database, wait for a future round, and when advertising begins they become part of the audience that sees Make Sense in their feed. If the studio is ever ready for outreach at real volume, that is its own conversation: run by you, or scoped and priced properly by us.

The database, plainly stated

It opens at 2,000 researched contacts and grows by up to 6,000 more every year inside your monthly investment. It decides who receives your introductions, who stays close, and, when advertising begins, who your campaigns are aimed at. If a launch ever calls for a research burst beyond that, we scope it as a separate build and quote it before anything is built. And there are no costs outside the fees on this page: no platform fee, no licence cost, no per seat charge.

Phase Two · Operate

Built once, then run every month.

A system is only worth what flows through it. Phase Two is the running of it: the lists kept fresh, the templates and journeys refined on real replies, the pipeline kept honest and the platform carried, every month.

On sending, plainly stated

10,000 emails per month is comfortably above the volume this system sends. If your database ever grows past it, additional sending is passed through at our cost, around $1 per 1,000 emails, and we tell you before it happens rather than after.

The ads layer · when you say go

When the studio wants to be found, not just to find.

Outreach reaches the businesses you choose. Advertising reaches the ones you have not met yet, and this is where the database earns twice: your researched contacts become the seed for custom audiences and lookalike audiences, so campaigns open aimed at people who resemble your strongest clients rather than cold guesses.

C

Advertising, managed

+ $2,900 / month
Included, every month
Campaign strategy, anchored to what is already proven in your categories
Audience strategy: custom audiences and lookalike audiences built from your database, refreshed as it grows
Ad creative and copy, directed and produced
Campaign build, management and budget allocation
Conversion tracking, wired into the same system, so every ad enquiry lands on your pipeline with its source stamped
Testing, refinement and plain language performance reporting
Two things, plainly stated

Ad spend is paid by Make Sense directly to the platforms and is separate from this fee. And this layer starts only when you say go. It is priced here so there are no surprises later, not because it is expected on day one.

No minimum term

Most agencies protect a build like this with a contract term. We do not. The system is yours from day one and the monthly is month to month. If it stops paying for itself, you stop. We would rather earn the next month than enforce it.

Why this is not a setup and handover

A setup is a fortnight. The value is the year after.

Someone could build you a system, hand over the keys and leave. What you would own is a well built, empty platform: every list refresh, every copy improvement, every new template or journey and every response to what the replies teach would then be yours to do, or to buy again.

The database is only worth what flows through it. What decides whether it becomes the studio's most valuable asset is not the fortnight it takes to build. It is the twelve months after.

The result
Not simply more enquiries. A client asset that compounds with every note sent.

Every week the database grows, every template gets sharper on real replies, and every finished project feeds the referral journey. The studio stops searching and starts being found, and everything built along the way belongs to Make Sense.
